We are looking for a detail-oriented and self-motivated Operations Assistant to join our team. The ideal candidate will provide timely and sufficient support to service operations, ensuring all internal and external customer requirements are met. This is a key administrative role supporting the smooth daily functioning of our service department.

 

Reporting directly to the Operations Superintendent. This position is based in Bremerhaven, Germany. Please note that this is a part-time position. We offer flexible hours tailored to your availability. While initially part-time, there is a possibility of this role developing into a full-time contract.

More tasks and responsibilities

 

  • Collect information required for making quotations and prepare final costing for service jobs.
  • Order handling in SAP from notification through to invoicing.
  • Supply of spares for service jobs and sourcing of spares locally if required.
  • Working with Salesforce / Google Office applications and other databases to update service processes and documentation.
  • Arranging transports / custom declarations via subcontractors / third parties.
  • Information / delegation of works via the several warehouses of parts order for delivery to the site/warehouse.
  • Working together with service engineers / coordinator + local workshop on site.
  • Checking of credit risks related to customer service jobs billing

What you’ll need to succeed

 

To thrive in this role, you must possess a strong service-minded attitude and excellent communication skills, enabling you to manage stakeholders like customers and Service Engineers effectively. Your ability to work independently, handle multiple tasks, and deliver on time is crucial for providing the necessary administrative backbone to our operations.


Ideally you have

 

  • Diploma or above (or Certification/Apprenticeship within the maritime industry is a plus).
  • At least three years of relevant clerical/business experience.
  • Fluency in English, both written and spoken, is mandatory.
  • Attention to detail and strong organizational skills.
  • Strong communication skills and a professional, service-minded approach.
  • Ability to carry out multi-tasks and deliver work on time.
  • Proficiency in Google office applications (Docs, Sheets).
  • Familiarity with SAP and/or Salesforce will be a significant advantage.
