We are looking for a Front Office Administrator to handle reception duties and ensure accessibility for our customers and suppliers.


As a Front Office Administrator, you will be the first point of contact for clients, collaborate with nearly all colleagues at the site, and serve as the go-to person for administrative questions and tasks. Furthermore, you will be responsible for your own daily operational work and play a vital role in keeping our Hamburg office running smoothly.

More tasks and responsibilities

  • Welcome, host, and assist our clients and partners as the first point of contact
  • Answer incoming calls, handle incoming emails, and manage the central mailroom 
  • Organise and book meeting rooms and events for clients and partners, including support with catering
  • Order and manage office supplies and consumables
  • Organise the company car pool for the respective location, issuing and collecting company vehicles to and from employees or leasing companies 
  • Process invoices via the in-house invoicing system (BASWARE), follow up on reminders, and maintain supplier data 
  • Monitor the work of service providers for the office area (cleaning, coffee machines, etc.) and liaise with the landlord regarding caretaker duties within the leased premises
  • Create, prepare, and maintain digital documents

Reporting directly to the Head of Central Services and Industrial Safety QEHS. The position is based in MacGregor’s office in Hamburg, Germany, and requires physical presence in the office (remote work is not permitted) with a weekly working time of 38 hours.

What you’ll need to succeed

To succeed in this role, it is essential that you possess a strong customer focus and excellent communication skills. We are looking for an individual who demonstrates trustworthiness, openness, and reliability, along with a structured and independent approach to work.

Ideally you have:

  • Minimum 3 years of professional experience in the service sector, preferably at reception
  • Experience in invoice processing and documents administration
  • Good knowledge of MS Office or Google Workspace
  • A Class B driving licence would be an advantage
  • Fluent in both written and spoken English and German
