We are looking for a detail-oriented and self-motivated Workshop Assistant to join our team. The ideal candidate will provide timely and sufficient support to workshop and service operations, ensuring all internal and external customer requirements are met. This is a key administrative role supporting the smooth daily functioning of our service department.
 
Reporting directly to the Operations Manager. This position is based in Pinneberg, Germany. Please note that this is a part-time position. We offer flexible hours tailored to your availability. While initially part-time, there is a possibility of this role developing into a full-time contract.

More tasks and responsibilities

 

  • Collect information required for making quotations and prepare final costing for workshop/service jobs.
  • Handle the full order process in SAP, from initial notification to final invoicing.
  • Supply of spares and consumables for the workshop and service jobs.
  • Use Salesforce, Google Workspace, and other databases to keep documentation and processes up to date.
  • Arrange shipments and handle customs declarations with subcontractors and third parties.
  • Coordinate with different warehouses to ensure parts are delivered to the site or workshop.
  • Work closely with service engineers, coordinators, and the local workshop team.
  • Assist with the physical packing of shipments when required.

What you’ll need to succeed

 

To succeed in this role, you should have a strong service-oriented mindset and excellent communication skills. You are comfortable working with different stakeholders, including customers and Service Engineers. You are a self-starter who can manage multiple tasks at once and meet deadlines, providing the essential support our operations need.

 

Ideally you have

 

  • A diploma or certificate (an apprenticeship in the maritime industry is a plus).
  • At least 3 years of experience in an office or business role.
  • Fluency in English, both written and spoken, is required.
  • Attention to detail and strong organizational skills.
  • Strong communication skills and a professional, service-minded approach.
  • Ability to carry out multi-tasks and deliver work on time.
  • Proficiency in Google office applications (Docs, Sheets).
  • Experience with SAP or Salesforce is a significant advantage.
  • Good German skills are an advantage.
